I still hope to-just don't want to commit until a few days yet and I check I can make it. It's only a day trip for me so even better!.

There's currently 22 people coming - that's 13 A2s and 1 non A2, I'd still love to get the numbers up to 30 and a few more A2s.

Stuart, I hope you are'nt offended by this, but here's my reservations concerning the June 1st social.
The thing that's putting me off, is having to commit myself ( by purchasing a ticket in advance ) to being able to attend. I'm sure I'm not the only A2 owner ( and keen supporter of this great Forum ) who through personal circumstances, might not know until close to the day of the event, whether or not they can attend.
I realise of course that these events have to be planned ahead, particularly when catering is involved, so could late " deciders" ( or late arrivals ) be allowed for by perhaps paying a reduced fee at the gate and foregoing the meal? Maybe it would boost numbers a bit?
What do other folks think? or am I sacked?

Of course you're not sacked! You are entitled to an opinion and this is the best place to get it across. Believe me I do understand your comments, and if I wasn't the organiser, I'd probably be the same - and to be honest in the case of some events it may be possible for people to just turn up on the day, but it's just not possible with this one.

The £12.00 per person pays for entrance to the museum AND the buffet lunch.
This is broken down as: £8.00 for lunch and £6.00 for discounted group museum entry - so the
real price is actually £14 per person, but I am subsidising each ticket by £2.00 and not making any profit on each ticket.

I desperately want the club to grow and events like these really make a big impact and help spread the word which is why have subsidised the price myself.

In terms of turning up on the day, with respect - what am I to do? Stand at the gates waiting for people to come all day and hand out tickets? Why should I enjoy the day any less than anyone else? I don't want to do that and nor will anyone else - atleast not until there are a significant numbers of cars going such as 40-50.

The requirement to pay for tickets in advance is purely because I have to confirm numbers with the museum one week before for the purposes of the buffet lunch and because I will be billed for the number of tickets collected by them on the day. That's not to say that people cannot purchase a ticket from me the day before or on the day, but I would need notification of this so that I could let the museum know and this could be at the risk of there not being enough food - which would be unfair on the people that did pay in advance. If I was to give out tickets to people on the day, then I would have the additional responsibility of chasing people for money and collecting it on the actual day which I think would cause more frustration as currently when you turn up having paid in advance, there is nothing further you need to pay in order to have a fun day out with lunch.

In terms of availability, I don't agree with you. I understand that some people may have the requirement to work on Sundays (or maybe have exceptional personal circumstances that drive their availability) and therefore may not know until nearer the date if they are available or not. But for the majority of people - you are either free or not on Sunday 1st June. If you are free and want to come and show support for your club, then you write the event in your diary/palm pilot/organiser, pay the fee and come along and if you're busy that day, then you don't. To me it's as simple as that...available or not!

So in answer to your question, due to the price and how it is worked out, a reduced price at the gate is just not possible (for this event) - that's not to say it can't be done at other events, just not this one.

If circumstances are such that advance notification is not easy then I suppose you could always come as a member of the public, but in an A2, and meet up (could anyone do that Stuart?). You would obviously not expect the buffet, but you could bring sandwiches, and of course full price admission would apply, it is not within Stuarts gift to change that. For the full copper bottomed "do" as arranged then I can see that advance notification is necessary in this instance. If Stuart agrees with my assumption then I am sure you would be most welcome.
 
Stuart, all what you say sounds fair enough to me, and of course I will do my best to come to the Social, under the same conditions as everyone else.
I only mentioned "paying at the gate" because I assumed that to be the method of "punter" payment/entrance to the Gaydon site, but naturally would'nt have expected anybody to hang around all day waiting for stragglers!
I hope the event is a great success.

Quick update...

We're now up to 25 adults and 2 children, coming in 15 A2s and 2 other cars.

I'm not sure if any of you were thinking of organising a convoy drive of some sort or to meet and drive up together. We could agree a Northern and a Southern meeting point on the way there at certain junctions on the M40 if anyone wants to drive in convoy on the way there?

Does anyone know where there are services near to the social location on the M40?

We can certainly try and do some form of convoy drive at the end of the day if enough of us are ready to leave...
